Summary

The Accounts Receivable Coordinator supports the day-to-day execution of accounts receivable operations, including invoicing, payment processing, reconciliations, collections, and reporting. This role helps ensure the accuracy and integrity of financial data while supporting operational efficiency and continuous process improvement within the accounting department. This position requires in-office attendance from Monday to Friday, with no option for remote work.

Key Responsibilities

Cash Application & Payment Processing
• Process, post, and reconcile payments via check, ACH, wires, credit cards, and online portals.
• Maintain ACH and credit card autopayment tracking logs and supporting documentation.
• Monitor daily payment activity to ensure accurate and timely processing and documentation.

Billing & Invoicing
• Generate, reconcile, and audit monthly invoices, including list bill invoices and reminder notices.
• Maintain invoice tracking logs and monitor discrepancies.
• Resolve client billing inquiries and discrepancies using internal and external resources.

Collections & Client Account Management
• Support collection efforts by monitoring outstanding balances and following up on delinquent accounts.
• Assist in resolving payment-related issues in a timely and professional manner.
• Build and maintain professional relationships with internal teams and external clients.

Reconciliation & Reporting
• Perform vendor and group reconciliations within established timelines.
• Monitor unapplied cash and support accurate allocation of payments.
• Maintain reporting logs and assist with routine financial reporting.

Adjustments, Chargebacks & Commissions
• Process chargebacks and billing adjustments with proper documentation and resolution.
• Generate and process broker and RX commissions in accordance with established schedules.
• Support credit requests and financial adjustments, ensuring accuracy and approval compliance.

Operational Support & Process Improvement
• Maintain accounting databases, reports, and payment records.
• Identify and implement process improvements to enhance efficiency, accuracy, and scalability.
• Support general accounting department functions as needed.

Qualifications and Skills

  • High School Diploma or GED required; Associate degree or completion of at least two years of college
  • Minimum of 2 years’ experience in accounts receivable or a related accounting function
  • Proficient in Microsoft Office applications, including Outlook and Word, with advanced Excel skills (e.g., VLOOKUP, PivotTables)
  • Experience with QuickBooks or comparable accounting systems
  • Ability to navigate and utilize multiple software platforms efficiently
  • Strong attention to detail with a demonstrated ability to maintain accuracy in repetitive tasks
  • Excellent written and verbal communication skills, including strong active listening capabilities
  • Strong analytical and critical thinking skills to support problem-solving and process improvement
  • Customer-focused mindset with strong service orientation
  • Effective time management skills with the ability to prioritize and manage multiple responsibilities simultaneously
