Summary
The Human Resources Coordinator plays a key role in fostering an employee-focused, high-performance culture that values flexibility, leadership, integrity, innovation, and passion, all aimed at building and developing a superior workforce. This role encompasses responsibilities in several key areas, including recruiting, onboarding, payroll and benefits administration, and general human resources functions.
The HR Coordinator plays a crucial role in supporting the VP of Human Resources, allowing them to concentrate on strategic HR initiatives and key business priorities. This collaborative partnership is vital for driving organizational success and fostering a dynamic, thriving workplace environment.
Responsibilities and Duties
Staffing/Employment Selection
- Review applications and resumes, conduct interviews, evaluate candidate skills, and provide recommendations on qualifications.
- Support the recruitment and interview process by tracking candidate progress and providing prompt follow-up or rejection responses at the end of the recruitment cycle.
- Track and report on key recruiting and HR metrics, such as staffing costs, cost per hire, turnover rates, and other KPIs.
- Communicate job details to applicants, including responsibilities, compensation, benefits, schedules, company culture, and opportunities for growth.
- Prepare and maintain accurate and organized new hire files.
- Assist with job analysis to ensure job descriptions accurately reflect current responsibilities, qualifications, and expectations.
Employee Relations
- Respond to employee inquiries and requests, providing excellent customer service and support.
- Prepare and distribute employee communications, such as letters and email notifications, as needed.
- Identify opportunities to enhance the company’s existing culture to keep employees excited and engaged
- Support the VP of Human Resources with employee relations matters, including workplace complaints and employee concerns (e.g., FMLA, workers’ compensation, and corrective actions).
- Provide employees and managers with information and clarification regarding company policies as requested.
- Collaborate with the VP of Human Resources to design and implement employee recognition and reward programs.
- Identify and propose initiatives to enhance the company culture, fostering excitement and engagement among employees.
- Maintain departmental standard operating procedures (SOPs), including payroll processes and general HR guidelines.
- Assist with new hire onboarding, including the completion and management of new hire documentation.
- Conduct exit interviews and ensure that necessary employment termination paperwork is completed
Benefits & Payroll Administration
- Administer and explain employee benefits, including Discount and Major Medical plans, acting as a liaison with insurance carriers.
- Manage COBRA administration for terminated employees, ensuring compliance and accurate tracking.
- Process bi-weekly payroll, 401k reporting, reporting, etc. with accuracy and efficiency.
- Handle required documentation for payroll and insurance providers to maintain accurate records and ensure proper deductions.
- Update employee information in the payroll system, including personal details, job data, I-9 forms, salary adjustments, and other relevant documentation.
Other
- Continuously develop and maintain the necessary knowledge and skills to effectively perform job responsibilities.
- Analyze employment-related data and prepare reports as requested
- Scan, file, and maintain organized employee records and files.
- Perform other duties as assigned.

Qualifications and Skills
Passionate about Human Resources and fostering a positive work environment.
- Minimum of 1-2 years of experience in Human Resources (additional education can supplement experience).
- At least 1 year of experience in payroll processing is required.
- Recruiting experience is essential.
- Excellent written and verbal communication skills.
- Outgoing, proactive, and enthusiastic attitude.
- Capable of working under pressure and quickly assimilating large amounts of information without compromising quality or attention to detail.
- Strong follow-through skills with a commitment to completion.
- Exceptional time management and organizational skills.
- Resilience to handle challenges and accept constructive feedback.
- Demonstrated proficiency in Microsoft Office, including Outlook, Excel, and Word.
- Ability to work at a computer terminal for 6-8 hours and remain productive in an environment with interruptions.
- PHR or other HR certifications are preferred.
